What a moving COI is
A Certificate of Insurance is a document that summarizes insurance information on the date it is issued. Building management may use it as part of vendor approval. It usually identifies the insured business, insurance carriers, policy types, dates, and limits, along with the certificate holder. Some properties request additional-insured wording or a specific description of operations.
A certificate is not an insurance policy, does not independently change coverage, and is not a promise that every possible claim is covered. Customers should avoid describing a company as “fully insured” based only on seeing a certificate. The building decides whether the submitted document meets its rules.
Information your building must provide
Ask management for its current sample certificate or written COI requirements. Send Surf Moving the legal certificate-holder name, complete address, required additional-insured entities, exact wording, required limits, submission email or portal, move date, property address, and deadline. If the building requires endorsement pages or a vendor form, include that request as well.
Do not substitute a leasing office nickname for the legal entity. A missing suite number, management company, condominium association, or additional-insured entity can cause rejection. Copy the instructions exactly.
When to request the certificate
Request the COI after the move details are sufficiently defined but well before the building’s deadline. Some properties need time to review and request corrections. Holidays, weekends, or last-minute schedule changes can shorten the approval window. Confirm receipt and approval directly with management rather than assuming that sending an email completes the process.
If the origin and destination both require certificates, obtain separate instructions for each. Their required entities and wording may be different. If the move date changes, ask whether management needs an updated certificate.
What a COI does not mean
A COI does not reserve the elevator, authorize parking, waive deposits, or replace vendor registration. Complete each building step separately. It also should not be used as the sole basis for broad marketing claims about insurance.
